To Do List From Last Meeting on Swim Meet

1) Need develop budget for the swim meet.



2) Sources of revenue for the meet. a) Sale of programs b) Portion of the meet fees the meet fee is $12 and SNB gets $3.75 so $8.25 per entry.



3) We can probably handle 125 swimmers for 4 hours. If we can beyond that we will have to run basically 2 shifts and start the day early and end later



4) Need to determine who is going to sell the programs and how it will tie in with the corporate program Tony Aug 18 meeting



5)Review with the civic center what any restrictions are and if we can give out free water at the meet or even sell water. Met with Kelly she suggested that we talk to Jerry about setting up some sort of menu for the meet at the canteen. Within the venu Jerry has the exclusive contract(Tony)



6)Expenses for the meet a)15 Sanction fee b)Best Time ribbons C) Pick and Blue paper stock d) $100 for misc on meet day, f) Ink cartridges



7) Need to assign a parent to coordinate the food for the meet. We have a list of the food that Diane will supply.Parents provide just need to bring together. Food is for coaches and officials. Need some runners to maybe bring right to the deck. Need plates cutlery and stuff for serving



8)Will need about 175 programs Shelley said she can get the copying done.



9)We need to get example of a program and develop ours



10)We need to check on photo copying and any associated fees at the civic center will be needed that day . Checked with Kelly the photo copier is available and we get charged 10 cents per copy and our code is 2562 (Tony)



11)Tony talk to Ted King about officiating



12)Book the room for timing courses and coordinate with the practice once it starts. Book the room for the timing course we will need to run. Also let Kelly know what we need for volunteers and she will send to the other rec Directors and see who can help out (Tony)



13) Need to have a invite to the other clubs prepared



14) Can we assign someone to talk to the restaurants about offering discounts and people for that day



15)Talk to Carol about what is on the Master list



16)Meet with Kelly at the Civic center to review. Done notes updated (Tony)



17)Check for facility access Friday night. No problem with access to the facility Friday night just check with Charlotte the time of the last event. As long as we do not need anyone in the pool no issue . The last event a public swim is over at 8;30 so we can have access to the facility at that point.(Tony)



18)Check that the lifeguards are part of our fees. Yes the life guards are part of the fees (Tony)



19)Do inventory of the existing swim stuff Tony picked you from Andy



20) Check the PA system where there is a wedding . The PA for the wedding is seperate from the one in the community room. However Kelly recommends that we do a test run to make sure it meets our needs (Tony)



21) Check the overhead used to display scores . The overhead projecter is available just book it with Charlotte . Charlotte is confirmed and booked the projecter (Tony)



22) Firm up with Vernon that he will handle the training session



23)Check lane numbers and false start rope. There is a box of stuff kelly will get brought out and someone will need to check is what we need is there. (Tony)



24)Need pace clocks turned off. As Charlotte to setup with one of the maintanance guys for meet night or morning (Tony)



25)Movable partition's in hospitably room. There is only one partition available (Tony)

We are good. Robin set me up with a login and password to access the Swim Canada meet registration site and I just finished submitting the sanction application. Painless.
I'll follow up with Robin to confirm I didn't miss anything as I was half expecting the need to include the Hytek setup file with the submission. Perhaps the Hytek files are handled at the Provincial level, and just through an informal email process.

Hi Diane - your application looks fine. However, this year all Sanction Applications must go through the SNC site. The Meet Package and set-up file must also go there. I've never used this format, but Robin can give you a hand if need be.
You can add Michelle Reid (Level II) to your list of officials if you like.

I updated you as the Meet Manager- your login is WVST and your password is wvst
You just click on "add a meet" and then follow the instructions for applying for a sanction (don't take the shortcut!)

Also, just wanted to let you know that I am getting a new computer, and my old computer has an updated copy of Meet Manager, so if you want to use my old computer for the meet, you are welcome to, instead of purchasing the whole Meet Manager program just for 1 meet (its $400-ish).

Let me know and we can make arrangements!

Hope things are going well. I just wanted to touch base with you to update relative to the meet. Thanks alot for agreeing to help out with the meet. Where this is all new to me I have few questions to make sure I do not miss anything.

1) So if I understand correctly you have agreed to run the Computer/Hy-Tek software for our meet. To clarify will you do that from your laptop or do I need to make sure we have a computer and printer available in the Officials room.

Yes, I will run your meet from my laptop and will bring along my printer. All I need from you on that part is printer cartridges for an HP 1315 #27 Black and regular size paper. (Carol Response)

2) Do you want a projector or anything available so you can project on a wall or screen

I do not need that in the computer room. We usually post results at a few places (one on deck and one where the parents sit). Your clerk of course may need some kind of mic to announce the events. (Carol Response)

3) If its your computer do I need to get a licensed copy of the software?

Your team should get the software for both meet and team manager, if this has not already been purchased. (Carol Response)

4) Our Meet Manager in "Training" is Shelly Palmer. I assume that if she shadows you during our meet she would be able to pickup what is required for us to do our own the next time.

She may have time here and there to see how it works. I will need at least one to two people in the computer room to act as chief finish judge and assist with posting results, etc. Ideally, 3 people in the computer room is super - maybe Ruth Hawkes will be there. If Shelly is in training, usually by the time the meet comes, everything should be up and ready to go. I would need to have someone sit at the computer and I will guide them through it. That is the best way to learn the system. (Carol response)

5) As you know Diane Foreman is our Official Meet Manager but we plan on trying to develop that expertise on our current Executive for future meets.

It is always good to have new parents get involved, this way you have a team ready to move up to the plate when your senior swimmers move on. (Carol response)
